This privacy policy explains how **Jodi Dancers** ("we", "us", "our") collects, uses, stores and shares personal data when you visit our website, send us an enquiry, book a performance, choreography or workshop, attend a School of Bhangra class, or contact us in any other way.

For data protection purposes, Jodi Dancers is the **data controller** for personal data collected through this website and in the course of our bookings and classes.

## 2. What personal data we collect

The data we collect depends on how you use our website and services.

### 2.1 Data you give us

When you fill in a form, email or call us, book a service or come to a class, you may give us:

- Contact details, such as your name, email address and phone number, and your organisation and job title if you're booking for a business, school or charity
- Event details, such as your date, venue, event type, start time, guest numbers and song requests
- Workshop and choreography details, such as group size, age range, the number of sessions you need and your wedding date
- Class details, such as which classes you attend and, if you choose to give them, emergency contact details
- The content of your message or enquiry
- Any other information you choose to share

### 2.2 Access, mobility and health information

If you tell us about access, mobility, sensory or medical needs so that we can adapt a class, workshop or performance, we will only use that information to keep the session safe and accessible for you. It is only shared with the instructors running your session.

This is a special category of personal data under UK data protection law. We process it with your explicit consent, and you can withdraw that consent at any time. Please only tell us what we need to know to adapt the session.

### 2.3 Photos and video

We sometimes photograph or film our performances, classes and workshops to share on our website and social media.

- We will tell you when filming is taking place, and you can ask not to be filmed or photographed.
- We will not publish identifiable photos or video of children without consent from a parent or guardian.
- If you appear in a photo or video we have published and would like it removed, contact us and we will take it down.

### 2.4 Testimonials and reviews

If you send us a testimonial or review, we may publish it on our website and social media with your first name and the type of event or class. We will ask your permission before publishing your name or photo.

### 2.5 Data collected automatically

When you browse the website, we and our service providers may collect:

- IP address, or a shortened version where supported
- Device and browser information
- Pages viewed, clicks, scrolling and time on page
- Referring and exit pages
- Approximate location, based on IP address

We use your personal data to:

- Respond to enquiries and send quotes
- Plan and deliver performances, choreography sessions, workshops and classes
- Manage bookings, deposits and payments
- Adapt sessions to access, mobility or sensory needs you have told us about
- Contact you about a booking or class you are involved in
- Share photos, videos and testimonials, with the safeguards described in section 2
- Operate, maintain and improve our website, including its performance and security
- Understand how people use the website so we can improve it
- Measure marketing performance, where applicable
- Prevent misuse, fraud and security incidents

- **Contract, or steps before a contract:** responding to your enquiry at your request, and delivering a performance, session, workshop or class you have booked
- **Legitimate interests:** running and improving our business and website, responding to general enquiries, and keeping the website secure
- **Consent:** non-essential cookies, publishing identifiable photos, video and named testimonials, and any marketing emails
- **Explicit consent:** access, mobility and health information you choose to give us
- **Legal obligation:** keeping financial records and complying with the law

## 5. Cookies and analytics

We use cookies and similar technologies. Where required, we ask for your consent before placing non-essential cookies, and you can change your choices at any time.

### 5.1 Google Analytics (GA4)

We may use Google Analytics 4 to understand website traffic and usage. This helps us improve content, navigation and performance.

### 5.2 Google Tag Manager (GTM)

We may use Google Tag Manager to deploy and manage website tags and tracking scripts. Google Tag Manager does not store personal data itself, but it can load tools that do, depending on configuration and your cookie choices.

### 5.3 HubSpot (website, forms and CRM)

Our website runs on HubSpot, which we also use to handle website forms and manage enquiries and bookings. Depending on configuration and your cookie choices, HubSpot may set cookies and collect information about your interactions with our website and forms.

### 5.4 Microsoft Clarity

If enabled on our website, Microsoft Clarity helps us understand how people use the site through behavioural metrics, heatmaps and session replay. If you would like to know whether Clarity is currently enabled, contact us.

## 6. Who we share personal data with

We may share personal data with:

- **Website, form and analytics providers,** such as HubSpot and Google, where needed to run and improve the website and manage enquiries
- **Hosting, IT and security providers** who support our website and systems
- **Banking and payment providers** when you pay a deposit or fee
- **Your venue or event organiser,** where we need to coordinate timings, space or access for your booking
- **Professional advisers,** such as accountants and legal advisers, where necessary
- **Authorities,** where required by law or to protect our legal rights

We do not sell your personal data.

## 7. International transfers

Some of our service providers may store or process data outside the UK. Where this happens, we rely on the safeguards required by UK data protection law, such as adequacy regulations or approved contractual protections.

## 8. How long we keep your data

We keep personal data only for as long as necessary for the purposes in this policy:

- **Enquiries that do not become bookings:** up to two years from your last contact
- **Booking and payment records:** six years after the booking, to meet tax and accounting requirements
- **Access, mobility and health information:** only for as long as we need it to adapt your sessions, or until you withdraw consent
- **Published photos, video and testimonials:** until you ask us to remove them
- **Website analytics data:** in line with the retention settings of the tools in section 5

- Ask us to correct inaccurate data
- Ask us to delete your data, in certain circumstances
- Object to or restrict how we use your data, in certain circumstances

## 10. Children

Our website is for a general audience and is not designed for children to use on their own.

Where children take part in our classes, workshops or performances, we collect their details from a parent, guardian, school or organisation, not from the child directly. We only collect what we need to run the session safely, and we do not publish identifiable photos or video of children without consent from a parent or guardian.

If you believe a child has given us personal data without appropriate consent, contact us and we will deal with it promptly.

## 11. Keeping your information secure

We take appropriate technical and organisational measures to protect personal data from loss, misuse, unauthorised access, disclosure, alteration or destruction.

No website can be guaranteed to be completely secure, but we work to keep risks low and respond quickly to any issues.

Our website links to other websites, including our social media profiles. We are not responsible for their privacy practices, so please check their privacy policies.
